Board of Directors Overview

Bryan National Little League is a 100% volunteer-managed organization. None of the board members or coaches receive payment for their volunteer efforts. These volunteers are crucial to keeping our league operating successfully. 

The Board of Directors is elected each summer. They are tasked with leading the organization through the following Fall and Spring seasons, including the All-Star tournament that can last into the following August. In addition to attending monthly meetings to make leadership decisions on the operation of the league, board members are expected to help with season organization, assist with conducting evaluations, help organize and conduct coach and player clinics, serve as board members on duty at practice and game nights, assist with tournaments that Bryan National Little League may host and various other responsibilities that are necessary for a large, 100% volunteer organization.

Executive Board Roles & Responsibilities


President:
  1. Conduct the affairs of the Local League and execute the policies established by the Board of Directors.

  2. Present a report on the condition of BNLL at the Annual Meeting.

  3. Communicate to the Board of Directors about matters deemed appropriate and make suggestions that may promote the welfare of Bryan National Little League.

  4. Be responsible for the conduct of BNLL in strict conformity to the policies, principles, Rules and Regulations of Little League Baseball, Incorporated, as agreed to under the conditions of the charter issued to the Local League by that organization.

  5. Investigate complaints, irregularities, and conditions detrimental to the Local League and report thereon to the Board as circumstances warrant.

Vice President:
  1. Perform the duties of the President in the absence or disability of the President, provided he or she is authorized by the President or Board to act. When so acting, the Vice President shall have all the powers of that office.

  2. Works with officers and committee members to execute overall league business.

  3. In charge of Sponsorships and Fundraising in partnership with Fundraising Manager. 

Player Agent:
  1. Record all player transactions and maintain an accurate and up-to-date record thereof.

  2. Receive and review applications for player candidates and verify residence and age eligibility.

  3. Coordinate the players during tryouts.

  4. Conduct the player draft and all other player transactions or selection meetings.

  5. Prepare the rosters.

  6. Prepare for the President’s signature and submission to Little League International, team rosters, including players claimed, and the tournament team eligibility affidavit.

  7. Notify Little League International of any subsequent player replacements or trades.

  8. Administer the divisional player pool.

  9. Serve as the contact person for Little League International.

  10. Represent coaches/managers in the league.

  11. Present a coach/manager training budget to the board.

  12. Gain the support and funds necessary to implement a league-wide training program.

  13. Order and distribute training materials to coaches and managers.

  14. Coordinate mini-clinics as necessary.

Secretary:
  1. Be responsible for recording the activities of the Local League and maintain appropriate files and necessary records.

  2. Keep the minutes of the meetings of the Members, the Board of Directors, and the Executive Committee, and cause them to be recorded in a book kept for that purpose.

  3. Conduct all correspondence not otherwise specifically delegated in connection with said meeting and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed.

  4. Notify Members, Directors, Officers and committee members of their election or appointment.

  5. Perform such duties specifically set forth, in addition to such other duties as customarily incident to the office of Secretary or as may be assigned by the Board of Directors.

Treasurer:
  1. Perform such duties as are herein set forth and other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board of Directors.

  2. Receive all money and securities and deposit them in a depository approved by the Board of Directors.

  3. Keep records for the receipt and disbursement of all monies and securities of the Local League, including the Auxiliary. Approve all payments from allotted funds and draw checks in accordance with policies established in advance of such actions by the Board of Directors. All disbursements by check must have dual signatures.

  4. Prepare an annual budget, under the direction of the President, for submission to the Board of Directors at the Annual Meeting.

  5. Prepare an annual financial report, under the direction of the President, for submission to the Membership and Board of Directors at the Annual Meeting and to Little League International.

  6. Ensure all tax exempt paperwork and steps are taken annually to maintain 501c status. 

Safety Officer:
  1. Must be CPR, AED, First-Aid Certified.

  2. Be responsible to create awareness, through education and information, of the opportunities to provide a safer environment for children and all participants of Little League.

  3. Develop and implement a plan for increasing the safety of activities, equipment and facilities through education, compliance and reporting.

  4. In order to implement a safety plan using education, compliance and reporting, the following suggestions may be utilized by the Safety Officer:

    1. Education - Facilitate meetings and distribute information among participants, including players, managers, coaches, umpires, league officials, parents, guardians and other volunteers.

    2. Compliance - Safety compliance leadership should be promoted by increasing awareness of the safety opportunities that arise from these responsibilities.

    3. Reporting - Define a process to assure that incidents are recorded, information is sent to league/district and national offices, and follow-up information on medical and other data is forwarded as available.

Communications Officer:
  1. Set up and manage the league’s official website (site authorized by Little League International)

    1. Assign online administrative rights to other local volunteers.

    2. Encourage the creation of team websites for managers, coaches, and parents.

    3. Ensure that league news and scores are updated online regularly.

  2. Collect, post, and distribute important information on league activities, including directly disseminating fund-raising and sponsor activities to Little League Baseball, Incorporated, the district, the public, league members, and the media.

  3. Responsible for building a robust Social Media and Marketing campaign.

  4. Serves as primary contact person for Little League and Active Team Sports regarding optimizing the use of the Internet for league administration and for distributing information to league members and Little League Baseball, Incorporated.

  5. Final approver of all written content that is distributed to Little League Baseball, Incorporated, the district, the public, league members, and the media to protect Bryan National Little Leagues brand.

  6. Set up online registration and ensure the league rosters are uploaded to Little League.


Auxiliary Board Roles & Responsibilities 

Umpire in Chief:
  1. Manage the Umpire Program.

  2. Work with the Scheduling Coordinator to schedule umpires for games.

  3. Recruit, Train, and Groom umpires for the Little League.

  4. Work with broader District 33 Region to offer 3-day training to umpires or enroll in ongoing training programs.

  5. Accept all protests from Managers, write reports, and present to the Board.

  6. Lead and organize the scorekeeper training.

  7. Ensure all adherence to proper procedures and local rules.

  8. Serve and oversee rule enforcement, including pitch counts and minimum play requirements.

The Umpire in Chief reports to the Player Agent. 

Sponsorship & Fundraising Manager:
  1. Solicits and secures local sponsorships to support league operations.

  2. Collects and reviews sponsorship and fundraising opportunities.

  3. Organizes and implements approved league fundraising activities.

  4. Coordinates participation in fundraising activities.

  5. Maintains records of monies secured through sponsorship and fundraising initiatives and reports them to the Board and Treasurer.

  6. Responsible for sponsorship banners and promotional orders. 

The Sponsorship & Fundraising Manager reports to the Vice President & Treasurer.

Equipment Manager:
  1. Serve as the point of contact for all equipment.

  2. Provide projections for equipment needs for upcoming seasons.

  3. Obtain new equipment as needed, including baseballs for seasons.

  4. Disseminate and collect equipment from managers.

  5. Report to field maintenance during season to support field preparedness. 

The Equipment Manager reports to the Player Agent. 

Concessions Manager:
  1. Maintains the operation of concession facilities

  2. Organizes the purchase of concession products

  3. Responsible for the management of the concession sales at league events

  4. Schedules volunteers to work the concession booth during league events

  5. Collects and reviews concession-related offers, including coupons, discounts and bulk-purchasing opportunities

  6. Organizes, tallies and keeps records of concession sales and purchases and reports them to the Board and Treasurer.

The Concessions Manager reports to the Treasuer. 

Field Maintenance Manager:
  1. Lead interactions with the Board to identify what work needs to be performed on the fields, a timeline for completion, and the suggested budget to complete work.

  2. Responsible for partnering with the League President and Treasurer to ensure all ordering of materials needed to maintain and upkeep fields for player safety and overall field appeal are completed in a timely manner (ahead of the start of the season).

  3. Recruits and leads volunteers to improve and maintain playing fields, including structures. (i.e., backstops, benches, and equipment containers.)

  4. Ensures all fields are game-ready ahead of all games and special events.  

  5. Responsible for the upkeep of field maintenance equipment and reporting needed repairs in a timely manner. (e.g., dragging tractor repairs or other equipment).

The Field Maintenance Manager reports to the Player Agent. 

Uniforms Coordinator:
  1. Obtain uniform sizes and rosters from the Player Agent.

  2. Obtain Sponsorship information from the sponsorship coordinator as needed.

  3. Obtain quotes for uniforms from various vendors to ensure the best pricing for each season. 

  4. Order, pay, and receive uniforms from vendors, ensuring all orders are correct to minimize unnecessary league overhead.

  5. Work with the Team Parent / Volunteer Coordinator for uniform dissemination. 

The Uniforms Coordinator reports to the Treasurer.

Scheduling Coordinator:
  1. Develop Game plans for future seasons according to field allocations.

  2. Provide game schedules for each season.

  3. Provide practice schedules of League Resources as needed.

  4. Work with the umpire-in-chief to schedule umpires.

The Scheduling Coordinator reports to the Communications Officer.

Team Parent / Volunteer Coordinator:
  1. Receive, process, and manage volunteer forms (integral for election proceedings, coaching positions, and other positions within the league).

  2. Build and manage the “Team Parent” playbook for best practices on how to best support volunteers throughout the season. (e.g., dugout support, shirt ordering, snack sign-ups, etc.)

  3. Partner with the Communications Officer to maintain the playbook on the league website.

  4. Be a key partner to the Special Events Coordinator for opening/closing ceremonies, including soliciting volunteers to work booths.

  5. Advocate for volunteers within the Board.

The Team Parent / Volunteer Coordinator reports to the Vice President.

Special Events Coordinator:
  1. Have direct oversight of opening and closing ceremonies.

  2. Create and allocate a budget for ceremonial elements like decorations, balloons, and trophies.

  3. Coordinate special guests, including national anthem singers and speakers.

  4. Lead vendor acquisition for events in partnership with the fundraising manager. 

  5. Development of plans for photographs and trophies for the preceding season.

  6. Collaboration with vendors to establish a comprehensive photo schedule.

  7. Manage vendor relations to ensure timely receipt of photos and trophies before the season's conclusion. 

The Special Events Coordinator reports to the Vice President.

Social Media Coordinator:
  1. Have direct oversight of all Social Media platforms and strategies.

  2. Will partner with the Communications Officer in building long-term visibility and readership externally via marketing tools. 

  3. Responsible for creating all visual assets for marketing including video, mailers, banners, etc. 

The Social Media Coordinator reports to the Communications Officer.
