Auxiliary Board Roles & Responsibilities
Umpire in Chief:
Manage the Umpire Program.
Work with the Scheduling Coordinator to schedule umpires for games.
Recruit, Train, and Groom umpires for the Little League.
Work with broader District 33 Region to offer 3-day training to umpires or enroll in ongoing training programs.
Accept all protests from Managers, write reports, and present to the Board.
Lead and organize the scorekeeper training.
Ensure all adherence to proper procedures and local rules.
Serve and oversee rule enforcement, including pitch counts and minimum play requirements.
The Umpire in Chief reports to the Player Agent.
Sponsorship & Fundraising Manager:
Solicits and secures local sponsorships to support league operations.
Collects and reviews sponsorship and fundraising opportunities.
Organizes and implements approved league fundraising activities.
Coordinates participation in fundraising activities.
Maintains records of monies secured through sponsorship and fundraising initiatives and reports them to the Board and Treasurer.
Responsible for sponsorship banners and promotional orders.
The Sponsorship & Fundraising Manager reports to the Vice President & Treasurer.
Equipment Manager:
Serve as the point of contact for all equipment.
Provide projections for equipment needs for upcoming seasons.
Obtain new equipment as needed, including baseballs for seasons.
Disseminate and collect equipment from managers.
Report to field maintenance during season to support field preparedness.
The Equipment Manager reports to the Player Agent.
Concessions Manager:
Maintains the operation of concession facilities
Organizes the purchase of concession products
Responsible for the management of the concession sales at league events
Schedules volunteers to work the concession booth during league events
Collects and reviews concession-related offers, including coupons, discounts and bulk-purchasing opportunities
Organizes, tallies and keeps records of concession sales and purchases and reports them to the Board and Treasurer.
The Concessions Manager reports to the Treasuer.
Field Maintenance Manager:
Lead interactions with the Board to identify what work needs to be performed on the fields, a timeline for completion, and the suggested budget to complete work.
Responsible for partnering with the League President and Treasurer to ensure all ordering of materials needed to maintain and upkeep fields for player safety and overall field appeal are completed in a timely manner (ahead of the start of the season).
Recruits and leads volunteers to improve and maintain playing fields, including structures. (i.e., backstops, benches, and equipment containers.)
Ensures all fields are game-ready ahead of all games and special events.
Responsible for the upkeep of field maintenance equipment and reporting needed repairs in a timely manner. (e.g., dragging tractor repairs or other equipment).
The Field Maintenance Manager reports to the Player Agent.
Uniforms Coordinator:
Obtain uniform sizes and rosters from the Player Agent.
Obtain Sponsorship information from the sponsorship coordinator as needed.
Obtain quotes for uniforms from various vendors to ensure the best pricing for each season.
Order, pay, and receive uniforms from vendors, ensuring all orders are correct to minimize unnecessary league overhead.
Work with the Team Parent / Volunteer Coordinator for uniform dissemination.
The Uniforms Coordinator reports to the Treasurer.
Scheduling Coordinator:
Develop Game plans for future seasons according to field allocations.
Provide game schedules for each season.
Provide practice schedules of League Resources as needed.
Work with the umpire-in-chief to schedule umpires.
The Scheduling Coordinator reports to the Communications Officer.
Team Parent / Volunteer Coordinator:
Receive, process, and manage volunteer forms (integral for election proceedings, coaching positions, and other positions within the league).
Build and manage the “Team Parent” playbook for best practices on how to best support volunteers throughout the season. (e.g., dugout support, shirt ordering, snack sign-ups, etc.)
Partner with the Communications Officer to maintain the playbook on the league website.
Be a key partner to the Special Events Coordinator for opening/closing ceremonies, including soliciting volunteers to work booths.
Advocate for volunteers within the Board.
The Team Parent / Volunteer Coordinator reports to the Vice President.
Special Events Coordinator:
Have direct oversight of opening and closing ceremonies.
Create and allocate a budget for ceremonial elements like decorations, balloons, and trophies.
Coordinate special guests, including national anthem singers and speakers.
Lead vendor acquisition for events in partnership with the fundraising manager.
Development of plans for photographs and trophies for the preceding season.
Collaboration with vendors to establish a comprehensive photo schedule.
Manage vendor relations to ensure timely receipt of photos and trophies before the season's conclusion.
The Special Events Coordinator reports to the Vice President.
Social Media Coordinator:
Have direct oversight of all Social Media platforms and strategies.
Will partner with the Communications Officer in building long-term visibility and readership externally via marketing tools.
Responsible for creating all visual assets for marketing including video, mailers, banners, etc.
